We are seeking a highly motivated Legal Assistant to support a leading nationwide law firm onsite in Miami. The ideal candidate is detail-oriented, proactive, and skilled in managing complex administrative and legal tasks within a fast-paced litigation environment. This role requires strong organizational skills, excellent computer proficiency, and the ability to anticipate attorney and client needs while ensuring deadlines and compliance standards are met.
Responsibilities:
* Draft, edit, format, and proofread a variety of legal and administrative documents.
* Provide full administrative support, including calendar management, travel arrangements, meeting coordination, and expense tracking.
* Maintain and organize both digital and paper files, ensuring accuracy and compliance with firm protocols.
* Assemble and prepare documents for litigation filings, client transactions, and agency deadlines.
* Assist with billing by editing narratives, monitoring deadlines, and ensuring client billing standards are met.
* Support client intake and matter management by preparing engagement letters, entering matter details, and tracking related documentation.
* Conduct basic legal research using Lexis and other online resources, as needed.
* Collaborate with attorneys, paralegals, and other assistants to ensure deadlines are met.
* Anticipate attorney needs by proactively managing reminders, deadlines, and critical case requirements.
Required Skills & Qualifications:
* 2-4 years of legal assistant or legal secretarial experience (litigation experience strongly preferred).
* Strong proficiency in Microsoft Office Suite and document management systems (iManage/FileSite or similar).
* Excellent organizational skills and the ability to prioritize multiple assignments in a fast-paced environment.
* Strong verbal and written communication skills.
* Experience with billing systems and time entry standards is a plus.
* Ability to work independently as well as part of a collaborative team.
