Med-Legal Xchange is a small and growing company seeking a motivated, experienced, detail-oriented, candidate to fill a role as receptionist/administrative assistant.The primary roles will be answering phones, directing incoming phone traffic, greeting guests, and light administrative duties in a HIPAA compliant office setting. This position will be responsible for communicating effectively by phone, email and letter with the public, doctors, lawyers, and insurance adjusters. Preferred candidates will have experience in legal, and/or psychological/medical settings. Preference may be given to candidates who are bilingual in Spanish. A full background check will be performed before hiring. To be considered, candidates must submit a resume and at least two professional, and one character reference.

Job Duties:

  • Answering phone calls on multiple lines
  • Directing incoming phone traffic
  • Greeting clients & patients
  • Communicating with patients, clients, doctors and lawyers by phone, fax and email
  • Receiving, scanning, filing, and uploading mail to our web portal
  • Drafting and proofreading letters, forms, and documents
  • Calendaring/Scheduling
  • Mailing and faxing correspondence
  • Ability to type 50 WPM
  • Will be heavily involved with an internet-based customer service platform

Knowledge, Skills, and Abilities:

  • Skilled in written and verbal communications
  • Professionalism in all interactions
  • Attention to detail
  • Familiarity with HIPAA requirements and procedures
  • Ability to multi-task and prioritize time to meet strict deadlines
  • Experienced with Word, Excel, and Salesforce
  • Ability to work both independently and as part of a team
  • Proficient in English grammar and punctuation

Minimum Educational Requirements:

  • Bachelor's degree or Bachelor's degree in progress; or
  • Associates degree and at least 2 years of relevant work experience; or
  • High School Diploma and at least 5 years of relevant work experience

The targeted start date for this position is November 1, or sooner for the right candidate. The pay range is $18 to $22 per hour depending on qualifications and experience. Normal business hours are 8:30-5:00-ish Monday through Friday (37.5 - 40 hours per week), with one hour for lunch.
