The purpose of this position is to assist with the operations of the Municipal Court by providing customer service, support, and maintaining records and databases. The position provides increased responsibility of duties such as maintaining all necessary database and paperwork for the City of Allen Municipal Court, creating warrants, scheduling court dates, controlling court dockets, processing court appearance bonds, and coordinating other activities as needed. This position will be cross-trained to perform the duties of Bond Clerk, Warrant Clerk, and Docket Clerk, in order to rotate positions as necessary. This position does not provide direction to other employees.
Essential functions include providing departmental support for various areas by assisting with customer service, entering data, providing computer support, resolving problems, and attending municipal court sessions to process paperwork as required. The incumbent may also be required to perform additional, position-specific duties.
Job requirements include six (6) months of advanced study or training past the high school equivalency plus two (2) years of relevant experience. Other combinations of education and experience may be considered. Valid Texas Class C Driver's License and Level I Court Clerk Certification or the ability to achieve within one (1) year of the hire date are required. Must be able to pass required pre-employment screenings, CJIS and fingerprint check, and have the ability to comply with state and federal requirements for Criminal Justice Information Security standards.
Knowledge of city rules, regulations, policies, and procedures; policies, practices, procedures, and legal terminology related to the Court system; modern office practices, procedures, and equipment; establishing and maintaining working relationships with professional and support staff, vendors, the public, and City employees; assessing and prioritizing multiple tasks, projects, and demands; providing outstanding customer service and conflict resolution; operating a personal computer utilizing a variety of business software; reading and understanding City, State, and Federal rules and regulations; creating, preparing, writing, and proofing reports, documents, and correspondence; working well under pressure and exercise tact in trying situations; and effectively communicating in both oral and written format are also required.
Physical demands include work primarily performed in a standard, climate-controlled office setting; prolonged periods of sitting, with frequent standing and walking; frequent use of hand and fingers to operate computers and other office equipment; visual acuity to read printed materials and computer screens; verbal and auditory ability to communicate effectively in person and by phone; occasional bending, kneeling, reaching, pushing, or pulling to access materials or equipment; ability to lift 20 lbs. occasionally, 10 lbs. frequently, or negligible weights frequently; and ability to operate city or personal vehicle for business purposes.
