Job Description

Position : Executive Assistant to the EVP, Chief Artistic OfficerDepartment : ProgrammingRole Overview : This position will focus on maximizing the day-to-day productivity of the Executive Vice President, Chief Artistic Officer (CAO) and the Programming, Advancement & Innovation, and Education departments. They will report to the CAO and rely on close, effective collaboration with the Chief of Staff to execute their responsibilities. By being at the center of the CAO’s departmental oversight, the Executive Assistant to the EVP, CAO will have a bird’s-eye view of the dynamic operations of one of the world’s leading performing arts centers.What you’ll get to do here :Maintain the CAO’s calendar through meticulous scheduling of requested appointments utilizing the Microsoft suiteCommunicate with Programming, Advancement & Innovation, and Education staffs regarding the CAO’s calendar for planning and collaboration when necessaryCoordinate and confirm all aspects of internal and external meetings, including meeting space / agendas / catering and technical specifications as necessary and using ArtsVision and Tessitura as resources for preparation and planningCoordinate meeting action items and follow up with the CAO and meeting participantsCoordinate bi-annual staff retreats, in collaboration with the Programming Chief of Staff and Vice PresidentWrite scripts and / or talking points for CAO’s presentations, speeches, and hosting responsibilitiesPrepare regular status reports for the CAO for meetings and agenda itemsField internal and external requests for the CAOManage correspondence on behalf of the CAOOversee ad hoc special projects from inception through development, to implementationTrack departmental expenses and receipts, vacation / sick days, and other logistics for the CAO, utilizing ADP, NetSuite, and MondayYou’ll be a fit if you bring :Minimum 3 to 5 years of experience supporting a C-Suite executiveEstablished track record of success within a fast-paced executive office and the ability to seamlessly change course when requiredStrong emotional intelligence and the ability to leverage relationship management skills to further organizational goalsSkilled in giving timely feedback both to colleagues and the CAO about work needs and approachesAbility to work effectively within a team environment and handle various personality types and working stylesStrong customer service skills and the ability to make sound judgments about the CAO’s priorities and needsWork style that can integrate effectively within a team environment and handle various personality types and working stylesSuperior interpersonal and written communication skillsExperience with industry technology platforms, including NetSuite, Monday, ArtsVision, and Microsoft SuiteAvailability to work extended hours, including some evenings, as neededBachelor’s degree or equivalent combination of education and experienceYou’ll be a great fit if you :Are eager to use business and administrative support skills to facilitate the work of leadership and changeAre adept at complex calendar and inbox management using judgment and tactCan juggle several urgent projects at once while keeping your eye on big-picture goalsOffer creative solutions to problems that are timely, cost-effective, and support the needs of the CAO’s agenda and direction.Have an interest in performing arts or arts administrationHave previous experience supporting executives in the C-SuiteWhat is Lincoln Center for the Performing Arts?Lincoln Center for the Performing Arts, Inc.
